Convert Outlook to Gmail

A number of businesses have changed from Outlook over to Gmail. (Me among them). It’s an easy way to not worry about backups. I do have a paid business account and I am not using a free gmail account for my business.

Step 1. We need to first enable Imap in Gmail. In gmail

In gmail select the wheel icon to access the “Settings” option. Now select “Forwarding and POP/IMAP”

In the “IMAP Access:” section click the radius button next to Enable Imap.

Step 2. We need to add the account to Outlook

In Outlook Select “Tools” from the Menu options then > Account Settings

Under the E-mail Tab you need to select “New”

Now select “Microsoft Exchange, POP3, IMAP or HTTP”

Check the box for “Manually configure server settings” then hit the next button.

We now need to select “Internet E-mail”.

You will now see the Internet E-mail Settings box. You need to fill in the information for your account.

Your Name: Fill in the Name you are going to use.

Email: This should be your gmail e-mail address. If you have an apps account then you are going to use that e-mail address. This is common if you are a business and are paying for the use of g-mail.

Account Type: Select “Imap”

Incoming Server: imap.gmail dot com (use a period . instead of “dot”.}

Outgoing Mail Server: smtp.gmail dot com (use a period . instead of “dot”.}

Logon Information: Gmail user name and password go here. Select the Remember password option.

Now select the “More Settings” option on the lower right of the dialog box.

Select the “Outgoing Server” tab

Check the box for “My outgoing server requires authentication”

Now choose the Advanced tab, and enter the following values

  • Incoming Server: 993
  • Incoming Server encrypted connection: SSL
  • Outgoing Server: 587
  • Outgoing Server encrypted connection: TLS

Continue onto the next screen. You will be asked if you want to test the new settings. Select the “Test Account Settings”. You should get a “Congrats” message. If not follow the guide again to see where you may of gone wrong. Ensure you have the correct user name and password.

You are now configured to get you Outlook e-mails onto gmail and you should be able to send and receive e-mails through gmail.
